Reporting to the Director of Operations, the Constituency Affairs Advisor is familiar with city services and departments, and is responsible for ensuring that constituent-related concerns and case work are resolved in a prompt and compassionate manner.
Responsibilities
- Listens to constituent concerns, problems, and inquiries and ensures they are resolved
- Delegates and refers inquiries to appropriate city staff, local City Councillor, or other members of the Mayor’s Office, as needed
- Monitors and triages incoming email, phone, and in-person correspondence, and ensures all correspondence receives a timely and appropriate response
- Coordinates with local Councillors and manages casework to see issues through to resolution
- Escalates issues to Director and Senior Staff when appropriate, especially items with significant policy implications
- Consults with the Legislative, Communications, Community Engagement, and Tour teams as needed to respond to constituent concerns
- Identifies and drafts responses for common correspondence
- Records all correspondence and case work in the Constituency Affairs Database, and assists in maintaining a clean, comprehensive, and efficient database
- Provides clear, concise, and respectful communication with constituents
- Represents the Mayor in a professional and compassionate manner in all correspondence
Qualifications, Skills & Experience
- Strong interpersonal and relationship-building skills
- Calm under pressure with a friendly, outgoing, and confident attitude
- Tremendous attention to detail, and ability to manage and prioritize multiple open files at the same time
- Able to thoughtfully anticipate needs and take swift, supportive action
- Knowledge of City of Toronto services and departments, and ability to navigate the city’s bureaucracy
- Excellent communication skills, including email, in-person, and phone
- Ability to problem-solve and adapt quickly
- Experience working as a constituency assistant
- Exercises good judgement and confidentiality
- Experience working for and staffing an elected official or candidate is an asset
- Experience in customer service is an asset
- Experience working in a call centre or other phone-calling is an asset
- Training and experience in social work or related fields is an asset
Application Procedure & Employment
Full-time indefinite contract for the duration of the term of office.
Salary band: $60,000 to $70,000.
Anticipated start date: August 12, 2024.
Location: In person work at Toronto City Hall.
